Scottish EDGE Application Portal Privacy Notice
This Privacy Notice explains how Scottish Edge C.I.C. (“Scottish EDGE”, “we”, “us” or “our”) collects and uses personal information when you register for our Application Portal, prepare or submit an application for funding, participate in the Scottish EDGE competition process or receive a funding award.

What information do we collect?
The information we collect will depend on the stage you reach in the application and funding process.
This may include:
your name, date of birth and contact details;
your business address, role and information about your involvement in the business;
information contained in your application, supporting documents, pitch materials or videos;
information about founders, directors or other members of your team where included in an application;
correspondence between you and Scottish EDGE;
diversity and inclusion information, including gender, ethnicity and disability information;
information required to carry out eligibility, verification or due-diligence checks; and
where you receive funding, business bank details and information required to make payments or administer loan repayments.
We may also collect technical information when you use the Application Portal, such as information required to keep your account and the Portal secure.
Some of the information we collect, including information about ethnicity and disability or health, is given additional protection under data protection law.
How do we collect your information?
We receive most of your information directly from you when you:
register for the Application Portal;
prepare, save or submit an application;
provide supporting information;
participate in competition stages such as judging or pitching;
complete verification or due-diligence checks;
receive a funding award; or
communicate with us about your application or award.
We may also receive relevant information from other sources where necessary, including companies or individuals involved in your application, publicly available sources such as Companies House, and organisations carrying out verification or due-diligence checks.
How do we use your information?
We use personal information to:
create and administer your Application Portal account;
receive, assess and manage your application;
establish whether you meet the relevant eligibility criteria;
communicate with you about your application and the progress and outcome of the competition;
administer judging, pitching and other competition stages;
carry out appropriate verification, compliance and due-diligence checks;
prevent or investigate fraud or misuse;
administer and make any funding award;
administer loan repayments where applicable;
provide services and benefits associated with a successful award;
meet our legal, financial, audit, governance and reporting requirements; and
where appropriate, keep you informed about Scottish EDGE news, events and opportunities.
Application and competition communications are not marketing communications. You may therefore continue to receive important information concerning your application or award even if you choose not to receive marketing.
Our legal basis for using your information
We only use personal information where we have an appropriate legal basis to do so.
Depending on the circumstances, we use your information because it is necessary to administer your application and any resulting funding relationship, because we have legitimate interests in operating the Scottish EDGE competition effectively and protecting Scottish EDGE and its funds, because we are required to comply with legal obligations, or because you have given us consent.
Where we rely on legitimate interests, these include the fair and effective administration of the competition, assessing applications, maintaining the security and integrity of our processes, preventing fraud and administering funding.
Where we rely on your consent, such as for certain marketing activities, you may withdraw that consent at any time.
Diversity and inclusion information
We collect certain diversity and inclusion information to help us understand participation in Scottish EDGE competitions and monitor equality, diversity and inclusion.
This may include information about ethnicity and disability, which is treated as special category personal data under data protection law.
Providing diversity and inclusion information is optional. It is used for equality, diversity and inclusion monitoring and reporting and is not used to assess the merits of your application or determine whether you receive funding.
Where possible, diversity information used for reporting purposes will be aggregated or anonymised.
Scottish EDGE processes this information only where the additional legal requirements applying to special category personal data are satisfied.
Who do we share your information with?
We may share relevant personal information where necessary with:
Scottish EDGE staff involved in administering the competition;
judges, assessors and others involved in evaluating applications;
delivery, funding and competition partners where they need the information for an appropriate purpose;
technology and service providers who support our systems and processes;
organisations carrying out verification, compliance or due-diligence checks; and
public authorities or other organisations where disclosure is required by law.
Anyone who is given access to confidential Application Information as part of the assessment, judging, due-diligence or administration process is required to be subject to appropriate confidentiality obligations, including a non-disclosure agreement where applicable.
Scottish EDGE currently uses Amiqus Ltd in connection with certain compliance, onboarding and due-diligence checks, and Microsoft Dynamics to support our application and customer-management processes.
Where you are successful, we may also provide limited business contact information to partner organisations that provide services or benefits included in the Scottish EDGE winner package.
We do not sell applicants' personal information.
How do we keep and protect your information?
We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure.
Personal information is stored using systems including our Microsoft Dynamics customer relationship management system, with access restricted to people who require it for an appropriate purpose.
We keep personal information only for as long as reasonably necessary to administer the application process, competition and any resulting funding award, and to meet applicable legal, audit, financial, reporting and record-keeping requirements.
Retention periods may therefore differ depending on whether an application is successful and the type of funding awarded.
Bank account details are deleted when they are no longer required to administer payments or repayments, subject to any applicable legal or audit requirements.
We periodically review the personal information we hold and delete or anonymise information that is no longer required.
International use of your information
Some technology or service providers may process personal information outside the United Kingdom.
Where this occurs, Scottish EDGE will ensure that an appropriate safeguard or other lawful mechanism required by UK data protection law is in place.
Marketing
Scottish EDGE may invite you to receive information about our news, events, networking opportunities, alumni activities and other services.
Agreeing to receive marketing will not be a condition of applying for Scottish EDGE funding, and as such, you can stop receiving marketing communications at any time by:
selecting the unsubscribe link in a marketing email; or
emailing info@scottishedge.com.
Stopping marketing communications will not prevent us from contacting you about your application, competition participation or funding award.
Your data protection rights
Depending on the circumstances, you may have rights to:
request a copy of the personal information we hold about you;
ask us to correct inaccurate or incomplete information;
ask us to delete personal information;
ask us to restrict how we use your information;
object to certain uses of your information;
receive certain information in a portable format; and
withdraw your consent where we rely on consent.
Some of these rights apply only in particular circumstances.
You have the right at any time to object to the use of your personal information for direct marketing.

How to make a complaint
If you have concerns about how Scottish EDGE has used your personal information, you have the right to make a data protection complaint to us.

We will acknowledge a data protection complaint within 30 days and take appropriate steps to investigate and respond to it.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator.

We may update this Privacy Notice from time to time. The latest version will be made available through the Application Portal.
Where a material change affects how we use information already provided to us, we will take reasonable steps to bring it to the attention of affected individuals where appropriate.
